PHOTO & VIDEO POLICY

The UCLA Black Alumni Association (“UBAA,” “we,” “our,” or “us”) is committed to fostering community, celebrating achievement, and documenting our programs and events. This Photo & Video Policy explains how photos, videos, and other media may be captured, used, and shared when you engage with UBAA, attend our events, or participate in our activities.
By attending UBAA events—whether virtual or in person—you acknowledge and agree to the terms described below.
1. PURPOSE OF PHOTO & VIDEO COLLECTION
UBAA captures photos, videos, and other media to:

Document and celebrate UBAA programs, events, and milestones

Promote scholarships, fundraising initiatives, and community activities

Highlight the achievements and contributions of alumni and students
-
Share content via our website, social media, newsletters, and marketing materials
This media helps us tell the story of our work and strengthen engagement within the Bruin community.
2. CONSENT & PARTICIPATION
By entering a UBAA event or participating in UBAA programs, you give permission for UBAA to:

Capture your image, likeness, and/or voice

Use this media in promotional, educational, or informational materials

Publish the media on platforms including (but not limited to):

UBAA website
-
Social media pages
-
Newsletters
-
Printed publications
-
Press releases
-
Event materials
-
This consent applies unless you request otherwise (see Section 5).
3. TYPES OF CONTENT WE MAY CAPTURE
Examples of media collected include:

Event photography and videography
-
Livestream recordings
-
Interviews or testimonials
-
Group photos
-
Candid event footage
-
Award ceremonies and recognition presentations
UBAA may also capture crowd shots where individuals may be visible but not individually identified.
4. HOW MEDIA IS USED
Images and videos may be used for:

Marketing and promotional content

Scholarship and fundraising campaigns

Annual reports and organizational documentation

Event recaps and community highlights
-
Social and historical archives
UBAA does not sell photos, videos, or personal information to third parties.
5. OPT-OUT OPTION
We respect your privacy and understand that some individuals may prefer not to have their image used. If you wish to opt out:
(A) Before an Event:
Email us at info@uclablackalumni.org with your name, the event name, and your request.
(B) During an Event:
Inform a UBAA staff member, volunteer, or photographer so they can accommodate your request.
(C) After Media Has Been Published:
If your image appears in a digital publication or social media post and you prefer its removal, contact us at info@uclablackalumni.org
We will review and honor reasonable requests as appropriate. Please note that crowd shots may make opt-out requests more complex, but we will make every effort to remove identifiable images.
6. MEDIA SUBMITTED BY ATTENDEES
If you share photos or videos with UBAA—whether through email, social media tagging, or event submissions—you grant UBAA permission to:

Repost, publish, or share the content

Use the content for promotional or archival purposes

Display your name or social media handle when appropriate
You retain ownership of your media.
7. CHILDREN & MINORS
UBAA takes additional precautions when photographing or recording minors.
For programs involving children under 18, we may require:

Parent or guardian consent forms

Restricted-use guidelines
-
Special identification measures for non-consenting minors
If minors attend general public events, standard event photography rules apply.
8. THIRD-PARTY MEDIA
Occasionally, external photographers, news outlets, or partner organizations may be present.
These third parties are responsible for managing their own permissions and policies.
9. CHANGES TO THIS POLICY
UBAA may update this Photo & Video Policy periodically. Changes will be posted on this page with an updated “Last Updated” date.
